HelpSquad, LLC Privacy Policy Statement
This privacy policy has been compiled to better serve those who are concerned with how their 'Personally identifiable information' (PII) is being used online. PII, as used in US privacy law and information security, is information that can be used on its own or with other information to identify, contact, or locate a single person, or to identify an individual in context. Please read our privacy policy carefully to get a clear understanding of how we collect, use, protect or otherwise handle your Personally Identifiable Information in accordance with our website.
Effective date: September 16, 2026
What information do we collect, and when do we collect information?
We collect information from you when you book a call with us through Calendly, start a live chat, contact us by email or phone, or otherwise contact us about our services.
When you contact us or book a call, as appropriate, you may be asked to enter your name, e-mail address, web site address, company name, phone number and other information, to help with your experience. You can visit our site without providing your name, email address, or other contact details. The analytics and advertising tools described in the cookies section still set identifiers in your browser unless you opt out or block them.
Like most websites and live chat services, we use cookies to enhance your experience, gather general visitor information, and track visits to our website, software and live chat operator service. Please refer to the 'Do we use cookies?' section below for information about cookies and how we use them.
What do we use your information for?
We may use the information we collect from you when you register, make a purchase, sign up for our newsletter, respond to a survey or marketing communication, surf the website, or use certain other site features in the following ways:
1. To improve customer service (your information helps us to more effectively respond to your customer service requests and support needs)
2. To process transactions
3. To send periodic emails regarding your order or other products and services.
4. To send periodic newsletter or email updates that enhance your user experience with HelpSquad.
How do we protect your information?
We implement a variety of security measures to maintain the safety of your personal information when you submit a request, place an order or enter, submit, or access your personal information.
These security measures include password protected directories and databases to safeguard your information.
We offer the use of a secure server. All supplied sensitive information including credit information is transmitted via Secure Socket Layer (SSL) technology and encrypted into our payment gateway provider’s database. It is only accessible by those authorized with special access rights to such systems, who are required to keep the information confidential.
After a transaction, your private information (credit cards, social security numbers, financials, etc.) will not be stored on our servers.
This website is not a channel for protected health information, and we ask that you do not submit patient information through our website or live chat. The client data we handle while delivering our services is governed by the service agreement we sign with each client and, for healthcare clients, the Business Associate Agreement that accompanies it, not by this website privacy policy.
Do we use cookies?
Yes. Cookies are small text files that a website or its service providers place on your device through your browser (if you allow it) so their systems can recognize your browser and remember certain information. We use cookies and similar technologies, such as browser storage and tracking pixels, to understand how visitors use our site, to measure and improve our marketing, and to keep the live chat widget working. Our site has no shopping cart or online checkout, and we do not use cookies for that purpose.
Analytics and advertising technologies we use
The following third-party services run on our website. Most of these set cookies or similar identifiers and receive the pages you visit and basic information about your browser and device. Each processes that data under its own privacy policy.
Google Analytics
We use Google Analytics to compile aggregate statistics about site traffic and how visitors move through the site. We also record events such as clicks on our booking, phone, and email links (the link text and destination), the start of a live chat, and completed bookings (the meeting type and the channel you came from). It sets the cookies _ga and _ga_*, which Google configures to last up to two years; browsers may keep them for less (Chrome about 13 months, Safari about a week). Google Analytics may also connect your visit with Google's advertising cookies (a feature Google calls Google signals) for demographic reporting; you can turn off ads personalization in your Google Ads Settings. Google's use of this data is described in the Google Privacy Policy and in How Google uses information from sites or apps that use our services. You can opt out of Google Analytics entirely by installing the Google Analytics opt-out browser add-on.
Meta Pixel (Facebook and Instagram)
We use the Meta Pixel to measure the results of our advertising on Facebook and Instagram and to show ads to people who have visited our website (often called remarketing or retargeting). It sets the cookies _fbp and _fbc, which last up to 90 days, plus a few browser storage entries that record the site that referred you and any Meta ad click that brought you here, and Meta may set additional cookies on its own domains. The pixel receives the pages you visit, the text and destination of the buttons and links you click, and your browser and device information.
We do not send the pixel the name, email address, or phone number you provide when you book a call with us, and we remove those details from the booking confirmation page address before any tag loads. If you enter contact details in the live chat widget, the pixel's automatic matching feature may send a hashed version of them to Meta for ad measurement and to match you to our advertising audiences. Meta's use of this data is described in the Meta Privacy Policy. You can control the ads you see, including ads based on your activity on other websites, in your Meta ad preferences.
Cloudflare Web Analytics
We use Cloudflare Web Analytics to measure site performance. It does not use cookies or track visitors across websites.
LiveHelpNow live chat
Our live chat widget is provided by LiveHelpNow. It sets the cookies lhnContact, lhnJWT, lhnRefresh, and lhnStorageType, and matching browser storage entries, so that your chat session continues as you move between pages and the widget can recognize you if you return (the lhnContact cookie lasts about 13 months). The widget loads on every page shortly after you start scrolling or moving your mouse, or after a few seconds of inactivity, whether or not you open a chat. Anything you type into the chat is stored by LiveHelpNow on our behalf and used to respond to your request. The widget also loads its fonts from Google Fonts, so Google receives your IP address and browser information when the widget loads.
Our own attribution storage
When you arrive on our site we note where you came from (for example, a search engine or an ad) in your browser's session storage under the key hs_utm_source, so that if you book a call we know which channel brought you to us. This entry is deleted when you close the browser tab. It contains only the channel name that we or the referring site put in the link (for example 'google.com' or 'facebook'), not your name or contact details. When you click through to book a call we add it, along with the page you clicked from, to the Calendly booking link and include it in the click event we send to Google Analytics, so Calendly, Google Analytics and, on our booking confirmation page, the Meta Pixel can see which channel you came from.
Other services that load on our pages
Our About and Contact pages embed a Google Maps map, and some pages embed YouTube videos in privacy-enhanced mode; Google receives your IP address and browser information when those embeds load, Google may set its own cookies through the map, and YouTube may set cookies if you play a video. Some pages load a Clutch reviews widget, which receives your IP address, browser information, and the page you are on. Some blog posts include a reader-feedback and quiz widget provided by AEO Content (aeocontent.ai). When one of those posts loads, the widget script is fetched from aeocontent.ai, so that provider receives your IP address and browser information, and the widget stores a random identifier in your browser under aeo_af_token and reports that the quiz was shown. If you answer a question or rate an answer, your response is sent to that provider with the same identifier, which it uses to count each reader once. The identifier does not contain your name or contact details. Calendly does not load on our pages; when you click a booking link you leave our site for Calendly, which processes the details you enter under its own privacy policy.
Opting out of interest-based advertising
In addition to the Meta and Google controls above, you can opt out of interest-based advertising from many companies at once through the Digital Advertising Alliance at optout.aboutads.info and the Network Advertising Initiative at thenai.org/how-to-opt-out. Opting out does not stop you from seeing ads; it stops the ads from being based on your browsing activity. Opt-outs are stored in cookies, so you will need to repeat them if you clear your cookies or switch browsers.
Managing cookies in your browser
You can set your browser to warn you each time a cookie is sent, or to turn off all cookies. Each browser is a little different, so check your browser's Help menu to learn how. If you turn off cookies, our analytics and advertising tools will stop recognizing your browser, and the live chat widget may not keep your session between pages.
Do we disclose any information to outside parties?
We do not sell or trade your name, email address, phone number, or other contact details to outside parties. We do share information with trusted third parties who assist us in operating our website, software and live chat operator service, conducting our business, or servicing you, so long as those parties agree to keep this information confidential. We may also release your information when we believe it is appropriate for purposes of complying with the law, enforcing our site policies, or protecting ours or others' rights, property, or safety. We also disclose cookie identifiers, device and browser information, the pages you visit and, if you enter them in the live chat widget, a hashed version of your contact details to the analytics and advertising services described under 'Analytics and advertising technologies we use' above, so they can measure our marketing and show you ads on other sites. Under the California Consumer Privacy Act and similar state privacy laws, disclosing this information to advertising services may be considered a 'sale' or 'sharing' of personal information for targeted advertising. You can opt out at any time using the tools listed under 'Opting out of interest-based advertising' above, or by emailing info@helpsquad.com, and we will add you to an exclusion list for the ad audiences we control.
Third-party Links
Occasionally, at our discretion, we may include or offer third party products or services on our website. These third party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.
California Online Privacy Protection Act
CalOPPA is the first state law in the nation to require commercial websites and online services to post a privacy policy. The law's reach stretches well beyond California to require a person or company in the United States (and conceivably the world) that operates websites collecting personally identifiable information from California consumers to post a conspicuous privacy policy on its website stating exactly the information being collected and those individuals with whom it is being shared, and to comply with this policy.
According to CalOPPA we agree to the following:
Users can visit our site without providing their name, email address, or other contact details.
A link to this privacy policy appears in the footer of every page on our website.
Our Privacy Policy link includes the word 'Privacy', and can easily be found on the page specified above.
Users will be notified of any privacy policy changes:
§ On our Privacy Policy Page
Users are able to review, change, or delete the personal information we hold about them:
§ By emailing info@helpsquad.com or calling 1-877-775-3667
How does our site handle do not track signals?
Our website does not currently respond to Do Not Track (DNT) browser signals, because there is no common industry standard for how websites should interpret them. You can limit tracking on our site using your browser's cookie settings and the opt-out tools described under 'Opting out of interest-based advertising' above.
Does our site allow third party behavioral tracking?
Yes. As described under 'Analytics and advertising technologies we use' above, we use Google Analytics and the Meta Pixel, which are third-party services that use cookies and similar technologies to recognize your browser across websites for analytics and interest-based advertising. You can opt out using the links in that section.
COPPA (Children Online Privacy Protection Act)
When it comes to the collection of personal information from children under 13, the Children's Online Privacy Protection Act (COPPA) puts parents in control. The Federal Trade Commission, the nation's consumer protection agency, enforces the COPPA Rule, which spells out what operators of websites and online services must do to protect children's privacy and safety online.
We do not specifically market to children under 13.
Fair Information Practices
The Fair Information Practices Principles form the backbone of privacy law in the United States and the concepts they include have played a significant role in the development of data protection laws around the globe. Understanding the Fair Information Practice Principles and how they should be implemented is critical to comply with the various privacy laws that protect personal information.
In order to be in line with Fair Information Practices we will take the following responsive action, should a data breach occur:
We will notify the users via email
§ Within 7 business days
We also agree to the individual redress principle, which requires that individuals have a right to pursue legally enforceable rights against data collectors and processors who fail to adhere to the law. This principle requires not only that individual has enforceable rights against data users, but also that individuals have recourse to courts or a government agency to investigate and/or prosecute non-compliance by data processors.
CAN-SPAM Act
The CAN-SPAM Act is a law that sets the rules for commercial email, establishes requirements for commercial messages, gives recipients the right to have emails stopped from being sent to them, and spells out tough penalties for violations.
We collect your email address in order to:
1. To improve customer service (your information helps us to more effectively respond to your customer service requests and support needs)
2. To process transactions
3. To send periodic emails regarding your order or other products and services.
4. To send periodic newsletter or email updates that enhance your user experience with HelpSquad.
To be in accordance with CAN-SPAM we agree to the following:
If at any time you would like to unsubscribe from receiving future emails, you can email us at info@helpsquad.com and we will promptly remove you from all correspondence.
Online Privacy Policy
This online privacy policy applies only to information collected through our website, live chat, and the contact and booking channels described above. Information we process on behalf of clients while delivering our services is governed by our agreements with those clients, as described under 'How do we protect your information?' above.
