Chiropractic virtual assistants

What is a chiropractic virtual assistant?

A chiropractic virtual assistant is a trained, HIPAA-compliant remote team member who answers patient calls, books and confirms adjustments, verifies insurance and handles billing for chiropractic practices.

What does it cover?

New patient calls, same-day adjustment requests, care plan scheduling and reminders, insurance verification before the first visit, and chiropractic claims and patient balances.

What does it cost?

$10 to $13 an hour for patient-facing work like phones and scheduling, and $8 to $10 an hour for billing and back office work on a full-time schedule. Part-time schedules are quoted individually, and there are no replacement fees. See pricing.

What stays in-house?

Adjustments, exams and anything that needs a person at the front counter. Read what a chiropractic virtual assistant handles, and what should stay in your office.

Why chiropractors work with HelpSquad

Fewer missed calls. Cleaner claims.

Four pressure points chiropractic practices bring to us. Every engagement starts by mapping the calls and claims that cost your practice the most today.

01

New patient calls answered live.

A patient in pain calls the first chiropractor who picks up. A trained receptionist answers in your practice name, books the first visit, and takes the pressure off the front desk during adjustments.

02

Care plans that stay on schedule.

Chiropractic patients often come in several times a week. Recurring bookings, reminders and care plan follow-ups keep visits on track and cut no-shows.

03

Insurance checked before the first adjustment.

Benefits, copays and yearly visit limits verified before the patient arrives, so nobody is surprised at the counter or on the bill.

04

Billing built around chiropractic rules.

Claims, modifiers, denials and patient balances handled by a back office team trained on your payers and billing rules, from $8/hr for full-time staffing. Part-time schedules are quoted individually.

How we support chiropractic practices

What does a dedicated chiropractic answering service handle?

Six lanes of support. Start with the phones, then add billing or after-hours coverage as you grow.

01

Dedicated answering service and front desk.

New patient calls, same-day adjustment requests, reschedules and reminder calls, answered live in your practice name. Your front desk stays with the patient in front of them.

02

Scheduling for high-visit care plans.

Recurring appointments booked to the treatment plan, gaps filled from the waitlist, and patients who fall off the plan called back before they drop out.

03

Insurance verification.

Benefits checked before the first visit: coverage, copays, deductibles and how many chiropractic visits the plan allows per year, tracked as visits are used.

04

Chiropractic billing and claims.

Claims submitted with the right codes and modifiers, denials worked and appealed, payments posted and patient balances followed up.

05

After-hours coverage.

Calls answered nights and weekends, appointments booked for the next opening, and urgent calls routed to you by the rules you set.

06

Trained on your system.

Your assistant is trained on your practice management and billing software during onboarding, and works inside it on a HIPAA-compliant virtual desktop.

Chiropractic billing services handled by a virtual back office team
Chiropractic billing services

Chiropractic billing services that know the rules.

Chiropractic billing has a few rules that sink claims when they are missed. Our back office team works claims, denials and patient balances with these rules in the checklist.

  • Active treatment needs the AT modifier. Medicare only pays for spinal manipulation (98940 to 98942) when the claim carries the AT modifier for active treatment. Claims without it are denied.
  • Maintenance care is not covered by Medicare. Practices give the patient an Advance Beneficiary Notice (ABN) and bill with the GA modifier, so the patient knows they will pay. The AT and GA modifiers never go on the same line.
  • Visit limits and copays tracked. Commercial plans often cap chiropractic visits per year, so benefits are verified up front and checked as visits are used.

Medicare rules: CMS Medicare Benefit Policy Manual, Chapter 15, Section 240 and Palmetto GBA on AT and GA modifiers.

HIPAA

Protected from the first call.

Every assistant handles patient information under a company-level agreement, on a secure virtual desktop, trained on HIPAA before they touch a record.

  • BAA signed between your practice and HelpSquad, not with an individual contractor.
  • Work happens on a HIPAA-compliant virtual desktop, never on a personal computer.
  • No copy, paste or download of patient information, and single-user logins only.

Frequently asked

Answers before you ask.

How much does a chiropractic virtual assistant cost?
For full-time staffing, $10 to $13 an hour for patient-facing work like phones and scheduling, and $8 to $10 an hour for billing and back office work. Part-time schedules are quoted individually. There are no replacement fees, and typically no setup fees. See full pricing.
Can your team answer calls after hours for my chiropractic office?
Yes. The team answers nights, weekends and holidays in your practice name, books patients into your next openings, and routes urgent calls to you by the rules you set. See our after-hours coverage.
Do you handle chiropractic insurance billing and Medicare claims?
Yes. The back office team submits claims, works denials and posts payments. For Medicare, spinal manipulation codes 98940 to 98942 are only paid for active treatment billed with the AT modifier, and maintenance care is not covered, so practices give the patient an Advance Beneficiary Notice (ABN) and bill with the GA modifier instead.
Will you sign a BAA?
Yes. HelpSquad signs a company-to-company HIPAA Business Associate Agreement with your practice before any assistant touches a patient call or record.
